Commercial Property Managers – What Skills Do They Need and Why?

In commercial real estate agency, the property management division is a key part of the agency performance. In real terms the successful division can bring in significant and stable income to the agency on a regular monthly basis. That being said, a good commercial or retail property manager is highly skilled and should be selected for the property management role based on key performance criteria and hands on experience.

Far too many real estate agencies have average or poor performing property managers. In real terms this is a real threat to the stability of the division income, and the quality of the service provided to the landlords. Unskilled property managers do not last in commercial or retail property; it’s that simple.

Cadets and Training Processes

There is a place for ‘cadets’ that learn the roles and the skills of complex property management. The process itself takes a couple of years during which time the person should be exposed to all property types and situations under the guidance of an experienced manager.

So what does a good commercial or retail property manager look like and what skills will they have? To a large degree they will need to bring to you as agency principal, the skills needed for the managed property type and local area.

If the property manager does not know much about managing the required property type, then do not let them manage it; the errors made can destroy your relationship with the landlord and ultimately the management appointment.

Different Skill Sets

There is a large difference in management style and skill required between retail, office, and industrial property; industrial property being the easiest to manage and retail being the most intense and difficult. The skills required in a retail property manager is diverse and deep; they are the best in the industry.

Generally speaking, retail shopping centre managers today are also the busiest in the industry. The role is very hands on and unrelenting in intensity. Here are some core skills of a well skilled and placed property manager:

  1. The ability to read and understand leases and occupancy documentation for all property types.
  2. The marketing of the property to the local community and customers will be a factor that is critical to retail property. It this way sales are encouraged for the tenants; this underpins the rental for the landlord.
  3. Sound skills in financial analysis and reconciliation so a property performance tracking process can be set up for all managed properties.
  4. Good communication skills are essential. Property managers must be accurate, confident, and decisive, in keeping with laws, legislation, and the instructions of the clients that they act for.
  5. Attention to detail is required in all property negotiations and tenancy matters. Without good records and accurate information, the ‘wheels fall off’ the division and its services. Landlords soon see through mistakes and inaccuracy.
  6. Marketing of vacancies happens all the time in larger properties; importantly the frequency of vacant space is minimised and the times without a tenant are lessened.
  7. Income optimisation and expenditure controls are at the centre of property financial performance. The manager must know what is happening and why in all managed properties, when it comes to the cash flow and reporting to the landlord.
  8. All reporting processes and communications to the landlords we act for today must be detailed and accurate. Property compliance and maintenance, energy consumption, lease and vacancy matters, tenant and landlord lease covenants, outgoings performance, and environmental matters are just some of the factors that are controlled and reported on each month.
  9. Computer technology needs are increasing in the available property performance and management systems today. The property manager must be familiar with, and comfortable learning more about all the software and computer based technology that is used in the industry.
  10. Work hard and with focus each and every day. The hours that a manager will put in the job are long and intense; however they are the experts and should recognise the value that they bring to the job.
  11. Maintenance decisions and controls are made daily and should encompass the instructions of the client and the laws of property ownership and function. The manager needs to know what is required and should competently handle the decisions and communications with contractors, tenants, landlords, and fellow employees.

So how do you find one of these highly skilled people? They are out there and should be carefully sourced. They will be an asset to your agency function and performance.

How To Pronounce Paraguayan Guarani Words

The Modern Guaraní is an Amerindian language spoken nowadays in Paraguay and it is the only Indian language in South America which is recognized as a national language. Surely it is important to remember that Guaraní is totally unrelated to Spanish; the other national language of Paraguay. Guaraní and Spanish are then separate languages used in a diglossic society. Spanish, which is believed to be the sole language of less than seven percent of the population, serves as a high variety that is used officially as the government language and the medium of education.

The origins of the Guaraní (or Avañeé) orthography in use today proceed from the transcription adopted by the Jesuit priest Montoya in the 17th century. The Guaraní alphabet (achegety) is composed of 20 letters (tai). The letter (tai)-to-sound (taipu) correspondence is almost always constant. In Guaraní all consonants and vowels are pronounced, which means that Guaraní has no silent letters. For this reason we can say then that the alphabet is phonetic to a great extent, that is, spelling and pronunciation are phonetic. But it should be noted that some grammarians and authors of dictionaries differ in the use of a few letters.

In what follows, comparisons with Spanish and English are given, as guidelines only, where there is close enough approximation to the Guaraní sound. Especially the consonants are pronounced as in English.

The vowel system

There are 6 vowel letters used in Guarani. The vowels (pu’ae) are as follows:

a, e, i, o, u, y

a, e, i, o, u as in Spanish. These vowels are represented exactly by the same characters in IPA (International Phonetic Alphabet).

The letter y in Guarani alphabet serves as a symbol for a close central unrounded vowel sound. Note that the IPA system uses the lower-case i, modified with superimposed hyphen.

In fact, Guaraní displays a vowel system with three high vowels (i, y, u) and three low vowels (e, a, o). The schema bellow serves as a representation of this 3 x 2 system:



These vowels can be either pure or nasalized. So all Guaraní vowels have nasalized counterparts. The nasalized vowels (pu’ae tĩgua) are represented with a tilde. That is, the tilde marks nasalization.

To conclude, Guarani vowels are all short. So do not make the vowels too long.

The consonant system

There are 14 consonants in Guarani. As noted above, many of them are similar to the English ones. The consonants (pundie) are as follows:

k, m, n, ñ, p, s, t, g, h, j, r, v, x,

Notice that the apostrophe symbol [] represents a letter which indicates a glottal consonant stop. This letter is called pu’y or puso. A “stop” is a sound in which the air in the vocal tract is completely blocked (Ladefoged:2001).

The consonants ñ, p, s, t, and r sound like Spanish. With loanwords from Spanish, Guaraní uses l and rr.

The pure nasal consonants (pundie tĩguaiteare) are: m, n, and ñ. In a sense, g may be considered also as a nasal.

Besides that, Guaraní displays the prenasalized stops: mb, nd, nt, and ng. These four sounds are named as “semi-nasals” consonants (pundie tĩjurugua) in Guaraní grammar. In general, double or geminate consonants like the prenasalized segments and sounds like rr are termed as pundiekõi. Observe that in some ortographies, the pundiekõi ch substitutes the letter x.

Words in which occur prenasalized stops are pronounced as follows: pytumby (twilight/anochecer) = py/tu/mby.

Consonants that sound like English

The following consonants are generally pronounced as in English:

k, m, n, p, g, j, r, s, t, v

Let us see some observations in relation to the set of sounds above:

s is always pronounced as in fussy;

g is always as in ago;

r is always as in ray (like the rolling sound used in Italian);

The three voiceless stops k, p and t are pronounced WITHOUT aspiration (a strong explosion of air at the end of the sound).

“Special” sounds

Finally, let us examine other sounds:

ñ : this is a velar nasal stop sound as in Spanish soñar (to dream);

x : this letter is pronounced as in English sure; some authors use the “ch” (surely this digraph represents a sound totally different of the same Spanish digraph);

(this symbol is called spiritus lenis in Latin): indicates a glottalized consonant sound, which is released with the glottis closed. This sound is made with mouth air, rather than lung air. The glottal stop occurs only between vowels;

h: is a glottal fricative sound.

What Is a Company Profile and How Do You Create One in Investment Banking?

Maybe it’s a bit jaded of me, but I think of company profiles the same way I think of Wikipedia entries – a hodgepodge of basic-as-Ben-Stiller information that’s not particularly interesting, but always necessary to have on hold.

The reason we create company profiles in investment banking is for use when analyzing the competitive landscape of our client company’s industry and for using in presentations to the client about possible deals (who can they buy, who can buy them, who to watch out for).

Company profiles also help us keep tabs on who’s doing what and where each player fits in – very CIAish I know.

What does a company profile literally consist of?

It depends on what it’s being used for.

In say a basic ‘Market Update’ PowerPoint presentation going out to a client, each company profile (of the client’s competitors/suppliers/customers etc) may only be a one slide summary with a 3 sentence description, 5 numbers/multiples, recent news etc – this super succinct form occurs when say 5-15 competitors are being profiled at once in a basic presentation.

In it’s longer form, say if you were detailing every potential acquisition target in a formal pitch book (!), a company profile could include several slides that straddle everything from historical financials to extensive qualitative descriptions of the company’s revenue streams to detailed analysis of specific parts of the company (to suit the immediate usage requirements).

In this form the company profile gets heavy and moves beyond the realm of mere Wikipedia copycat!

Because company profiles are often merely a collection of simple information scattered beautifully across a few slides, they’re considered Intern Level Work and will probably be one of the first things your analyst-mentor will palm off to you come summer. As you can see from the above, you don’t need a 3.8 GPA from Stanford to pull these off.

How should you go about prepping for company profiles?

When you get into the bank flick read through a couple past examples, internalize the language, structure, components, and metrics used, and quite soon you’ll know how to create company profiles without even referencing precedent samples.

The first thing you will notice when reading past examples is how tranquilizer-esque they are; they’ll put you to sleep in an instant.

The data, the language, the facts, the summary – it’s all so common knowledge and BS sounding. But your job is not to win a freaking Excel or creative writing competition so don’t try to break with convention and pen some Charles Dicken prose or engineer some insanely original multiples when you’re asked to give it a go.

Instead play it safe and create company profiles that blend in, not stand out

If you want to impress bankers here then all you need to do is present with extreme succinctness – super industrious language paired with only the really important numbers/graphs etc will wow bankers since it saves them time and hides the “who cares” details.

Some students think they need to find interesting facts and figures about the company that aren’t readily accessible via a company search on some half-rate intelligence database to impress here.

But trust me when I say finding uber original info like this is time consuming and really not expected – and when you’ve had 2 hours sleep in 2 days why would you get all sadomasochistic on yourself with some freaking primary research?

That said, you can’t create all your company profiles by simply grabbing text from a database search, or (and yes this is very common) copy-pasting a Wikipedia entry on the company or text from the company’s own website!!

Instead you need to write from scratch using the tone/type of language and exact structure you see in the banks existing company profiles, and with the type of conciseness you see in these; as well as drawing your figures and numbers directly from the original sources and condensing them into their most essential and insightful form (just like with spreading comps – which we talk about below).

ie you have to summarize the summarizers, but do it accurately and in a client friendly way.

As an investment banking intern you’ll probably more often than not be asked to simply update or double-check existing company profiles.

This can really suck if the intern or first year banking analyst who made the existing profiles did an awful job on them, because bankers will expect a mere ‘update’ to take you no time at all, and yet you’ll almost be making profiles from scratch!!

Although you are all bright eyed and bushy tailed now, don’t be disheartened if you make dozens of company profiles and they never get read – such is the nature of them. ie banks will want profiles on hand for ‘just in case’ a client requests them, or a deal takes heat.

The Unbreakable Laws of the Universe

To live a harmonious life, you must not only abide by the laws of your country, but also by the natural Laws of the Universe. If we transgress, there will be consequences. Like any country, the universe is also governed by certain laws. We refer to these as Universal Laws or Laws of Nature, 'whose content is set by nature and is therefore universal' (Wikipedia).

The Law of Gravity is an example of a Universal Law. So is the Law of Conservation of Energy, that is, energy can not be created or destroyed, only transformed from one form to another. However, unlike human laws, which can vary from country to country, Universal Laws are consistent and unchanging. You interact with these laws with every breath you take. They govern your existence.

Nothing about your life has been casual or accidental!

The Universal Laws seem to be mysterious. They have hidden truths. When you identify these hidden truths and utilise them correctly, miracles or amazing results occur in your life. It may manifest as suddenly having money when you need it the most, reversing a life-threatening disease, or succeeding in a particular endeavour. These 'miracles', no matter how incredible they might be, are not unbelievable outcomes. They are natural outcomes based on the correct application of specific laws of nature.

Unfortunately, some of the Universal Laws are not as clear-cut as they might seem. There are unnoticed subtleties to the Universal Laws which, when understood and applied, can make all the difference between happiness and misery, prosperity and poverty, peace and conflict, ease and struggle.

It's easy to think that some people are born to affluence and all good things happen to them. The truth is, these people are not simply lucky; good things do not just 'happen' to them. They're just applying the Laws of the Universe more effectively, whether they're aware of it or not. The laws are flawless; they work perfectly every time, all the time. If you seem to be doing all the right things, but your results are poor, consider the Laws of the Universe and how you are applying them. This book will help you.

How many laws are there? Many.

These laws govern every aspect of our existence. The supreme Law of the Universe is the Law of Cause and Effect, also referred to as karma or the parable of 'reaping what you sow'. For every effect there is a cause; for every action there is a reaction. Positive action equates to a positive result. The Law of Cause and Effect transcends time, space or form.

It operates whether you are aware of it or not.

Every human thought, word or deed is a cause that sets off a wave of energy throughout the universe, resulting in desirable or undesirable effects. It appeared that his daughter had a crippling form of arthritis together with a so-called incurable form of skin disease. Medical treatment had failed to alleviate the condition , and the father had an intense longing for his daughter's healing, and expressed his desire in the words just quoted.

One day the family was out for a drive. Their car was involved in a head- on collision. The father's right arm was torn off at the shoulder. When he came home from the hospital, he discovered that his daughter's arthritis and skin condition had vanished.

Everyone is subject to these same natural Laws of the Universe, regardless of race, colour, creed or gender. The laws exert their influence without our consent or awareness. When we choose the behaviour, we choose the consequences. Interestingly, the people who are frustrated in life consistently try to defy the natural laws. And, not surprisingly, successful people live in harmony with the natural Laws of the Universe.

Deepak Chopra, an authority in mind- body medicine, identified these issues in his bestselling book, The Seven Spiritual Laws of Success, saying 'no debt in the universe ever goes unpaid. There is a perfect accounting system in this universe, and everything is a constant "to and fro" exchange of energy '.

All of life is connected; what we do to others, we do to ourselves. According to the principle of karma, any negative or positive thought or action remains that way, until it expends (uses up) its energy by acting upon the originator. The energy you create through your thoughts, words and deeds – either negative or positive – will rebound and act on YOU. But, as it is the nature of energy to expand when it is put out into the world, you will at some point experience much more than you caused others to experience.

If you cause others to experience prosperity and wellbeing, it will come back to you and you will experience it as well, often multiplied. In like manner, if you hurt someone, the energy will eventually return and cause you even greater hurt, unless of course you make amends in some way.

Eighteenth-century German poet and philosopher, Wolfgang Von Goethe wrote:

Nature understands no jesting; she is always true, always serious, always severe; she is always right, and the errors and faults are always those of man. The man incapable of appreciating her, she despises and only to the apt, the pure, and the true, does she resign herself and reveal her secrets.

The Law of Cause and Effect is the IRON LAW of the universe. It is unyielding. If you defy this law, there will be consequences – no 'ifs, ands, or buts' about it. It's fascinating (and often tragic) to observe how many of us try to defy this law, especially when we pursue quick and easy gains. Often we strive for what we want by doing the exact opposite of what is in our best interest.

This beautiful fable illustrates the mystifying and sometimes illusive nature of the Law of Cause and Effect.

The Secret to Creating Affluence

A young man went to the forest and said to his spiritual master, 'I want to have unlimited wealth, to help and heal the world. What is the secret to wealth? '

The spiritual master said, 'There are two Goddesses that reside in the heart of every human being: the Goddess of WEALTH and the Goddess of KNOWLEDGE'.

She will constantly shower you with material blessings just to win your attention, and the wealth you desire will be yours forever '.

The human tendency is to pursue the Goddess of Wealth, which seems like the logical choice. However, wealth is simply an effect, and like any effect it has a cause. In the fable, pursuing one goddess gets you the best of both worlds; wealth comes from the acquisition and proper application of knowledge.

So let's be clear: your goals and dreams will manifest when you and the Laws of the Universe are in harmony!

It's a scientific fact that the universe operates in absolute harmony with IRREVOCABLE natural laws and principles that have NEVER varied throughout all time. These laws prevail regardless of whether we heed them or not. Those individuals who live in harmony with the Laws of the Universe will emerge victorious. Bestselling author, Bob Proctor, summed it up perfectly when he said,

You are living and working in a dynamic global marketplace that leaves little room for error. In future, only those individuals whose beliefs are sound, in harmony with the laws of the universe, and have been integrated with their behavior, will emerge as real winners.

This much we know with certainty: you have unlimited potential and you can tap into and harness this potential by combining:

1. a deeper understanding of yourself (your power of attraction) with

2. specific efforts towards a desired outcome (your power of action).

In other words, you'll experience the rewards (the Law of Receiving) when you truly understand that you have immense, untapped ability, and you combine that understanding with deliberate application of the Law of Attraction and the Law of Action.

These are the three key laws of manifestation that interact to create abundance in your life. Use these laws in cohesion to expedite your success and achieve better results.

The aura is an energy field that normally extends between three and six feet from your body. If your aura is very strong it can extend an even greater distance. Imagine yourself with a glass egg around you and a swirling aura of black and white-this will represent any negativity and emptiness in your life.

Now imagine a bright rainbow light coming down from your guide into the top of the egg, penetrating it, shattering it. The black and white aura colors start drifting away from you like smoke clouds, and the rainbow light fills up every area of your body inside and out until you are completely immersed in it. Visualize this warming and energizing light going to your head, neck, shoulders, arms, hands, back, chest, pelvis, thighs, calves, and feet. You may begin to feel warm all over, maybe a tingling sensation or something different about your mind and body that shows this is working.

Once you’re at this point, picture the rainbow light exiting through your feet, taking any and all negativity with it down into the center of the earth where it’s burned up. (I like to imagine any negativity being burned into oblivion rather than sending it out into the universe and polluting it.)

At this point you’re empty and cleansed.

Visualize a color blossoming in the center of your chest. See it as a very small light growing in intensity with each breath you take. The color that comes to you is the color you need at this point in your life. Imagine this colored light filling you from toes to head.

Visualize now that this new color extends outside your body as far as it can go, yet still being strong. In the beginning it may be hard to imagine it more than just an inch outside of you, if at all. That’s okay, just keep practicing. Your aura didn’t get weak over night, it may take some time to strengthen it.

Now imagine this new aura attracting an amazing life mate, a better job, wealth, or anything in life you wish for. Envision yourself being out in public and this new and beautiful aura all around you, reaching out to people, attracting all you desire.

If you’re doing this exercise to attract a soul mate, try to feel your soul mates energy. More than looks, how would this person feel to you? How would this person make you feel? This will help greatly so when you do meet the person you’ll recognize their energy. Don’t try to put a face to the person unless it comes easy. Just immerse yourself in the energy.

If you’re doing this exercise to help with finances and to attract wealth, imagine in as much detail as you can that you are budgeting your money wisely, you’re saving money, you’re enjoying spending money on things you truly need and desire. (Too many times we buy on impulse, rather than saving for what we truly desire or need.) Picture yourself in a wealthier lifestyle, and immerse yourself in the feeling of wealth, of having all of your bills paid, of living in a nicer home.

You can do this for anything you want in your life, but keep in mind that simply visualizing what you want isn’t enough. The point of this exercise is to help clear your aura of negativity so you can attract a happier, healthier life and the opportunities that will assist you in getting there. Wishing alone won’t make it so! We must take action too.

Once you’re at this point, after you have your ideal life or most pressing need met in your mind, you can end the meditation. It should only take a couple of minutes or as long as you’d like. Go through your day and see if things are different. Be aware of coincidences, synchronicity, opportunities, or anything positive that comes your way. Thank your guides so they know you’re paying attention. The more we are open to their help and guidance, the more help and guidance they can send our way!

The Bigger Picture

On Friday, January 20th, a new president will be inaugurated, the 45th president of the United States of America. Following a long and bitter election cycle, this country doesn’t seem to be very “united” at the moment.

I rarely comment about political matters. However, I offer a perspective I’ve heard very little about from fellow Christians over the past two years.

There have been discussions, debates, speeches, arguments, vicious verbal attacks, physical attacks, hatred, lies, tears, depression, disbelief. None of that really surprises me. But the rhetoric of some Christians has. Perhaps they do not see the bigger picture.

I’m not talking about accepting the constitutional process of our republic. Regardless of the outcome of the recent presidential election, I would still be writing the same article. Many continue to stay focused on who won the election, with either exuberant shouts of victory, or disgusted and stunned disbelief.

There are those who call themselves Christians on both sides of the aisle. Some have displayed outright hatred for the President-elect, convinced the U.S. is headed for utter oblivion. Meanwhile, other Christians see the winner of this recent election as almost a God-sent savior for the United States.

Both sides miss the bigger picture!

If you are a fan of the Bible, and one would assume Christians are indeed fans, then there are a number of places you can read where God’s people were under the rule of some very bad leaders. In fact, in Jesus’ day, the Romans occupied the holy land, and Herod was the Judean king. And yet, Jesus didn’t really comment on that very corrupt and ungodly political situation.

Yes, he did once refer to Herod as a “fox,” and once responded to a question about taxes by saying, “Render to Caesar the things that are Caesar’s, and to God the things that are God’s.” But his main focus was on teaching and healing people, not political battles.

There are a number of places in the Bible one can read and see godly people bringing godly counsel and wisdom to those in authority. The account of Mordecai and Esther is breathtaking and astounding! Their actions literally saved God’s people from being slaughtered and exterminated while in captivity under the rule of the Persians.

What about Daniel? He served in the government during the Babylonian captivity. His first boss was the pagan ruler, Nebuchadnezzar. Daniel also served in the government for King Belshazzar, King Darius, and King Cyrus.

The book of Daniel shows us that Daniel, Shadrach, Meshach and Abednego were in government positions at a very difficult time for God’s people. One can easily see the positive influence they had in their situation.

Are You Beginning To See The Bigger Picture?

What about Joseph? Because of his great trust in God, he saved the country of Egypt from certain disaster, and ended up second to the Pharaoh in the greatest country of his time. That resulted in saving his entire family from starvation.

Then of course there’s the teenaged shepherd boy named David. He got the “ear” of King Saul, and with God’s help, slayed Goliath.

There are other examples of godly wisdom reaching those in authority, resulting in good things for God’s people. And, of course there are examples of ungodly wisdom presented to those in charge, resulting in bad things for God’s people.

For those of us who are Christians, the bigger picture is to pray for our country for godly wisdom to prevail in all areas of government. It doesn’t matter where or who God’s wisdom comes from. It just matters that godly wisdom reaches the right people and then that those in responsible positions heed it!

Why, at this time of great division in our country, as we transition from one administration to another, are some Christians missing the bigger picture? The leaders of our country, those in authority, need our prayers.

Scriptures direct Christians to pray for those in positions of authority that we may lead a quiet and peaceable life in all godliness and honesty. That, my brothers and sisters, is what God said to do; that is the bigger picture.

Of course it’s better to have one elected to the highest office who has integrity, honesty, morals, and the best intentions for our country. But it’s doubtful there will ever be an Apostle Paul equivalent elected as president of the United States. On the other hand, it is possible for someone very evil to fool every one and get elected.

There are those who saw this election as a choice between bad and worse. Some refused to vote. And to add to all the fracas, the media was left with egg on the face for its predictions.

But, again, regardless of whoever is elected, the bigger picture, for us as Christians, is to pray for those in authority. Pray for godly counsel to reach the ears it needs to, and that godly counsel is heeded

3 Ways to Make Radio Commercial Testimonials Effective

You hear them all the time in radio commercials. Customers raving about a select business or service. However, not all radio commercial testimonials are created equal. The old rule of “any exposure is good exposure” does not apply here. If you heard someone talking about a service you were contemplating using, and it came across as very “forced” or “fake” – It may taint your idea of the service. It may even make you feel as though they were trying to “cover up” something… otherwise… why would they have “fake” customers talking about them? Even if that is not the case, that is the perception to the consumer. However when a radio commercial testimonial ia delivered in a genuine and sincere tone – it can be super successful! Here are the three keys to a successful radio testimonial.

The first key that you should have on your radio testimonials are real people. It sounds obvious, but more times than not testimonials are bogged down with bad voice actors reading from scripts written by the business owner in only the way a business owner would describe their business. The average customer does not walk into a store and say “wow, you have the best selection and the lowest prices around – with deals starting at 9.99 – that’s amazing!!”. You know your business better than your customers – so you talk in “owner speak”. If you want your testimonials to sound real AND connect. They need to come from the way your customers talk. How do you know what they are saying… Ask Them! Whey they talk about your business they my describe it in ways you never thought of.

The second key to a successful radio testimonial is not TELLING people what to say. Too often, I have clients bring me REAL customers who want to talk about their business. Then I see them walk into the studio with a script in hand! Newsflash! They are not talking about your business at this point, they are reading from a script you gave them, and might a I add… this is the worst type of testimonial. At least an actor can make an attempt at sounding real. Joe Blow with a script in his and is going to butcher what you want him to say about your business like you wouldn’t believe! No scripts when it comes to testimonials… Just questions… Questions that the people who are being recorded do know know in advance!

The third successful radio testimonial key is – Keep it customers only. No one wants to hear your children talk about “daddy’s store” or your wife make some stupid off handed remark about her husband or vice verse. People want to hear what other people just like them thought about your business – period! Keep the children talking and spouse jokes for the Christmas party presentations.

The 5 Essential Financial Reports You Should Be Asking For in Your Business

A question I often get asked from my business owner clients is “what reports should I be asking for so that I can keep my finger on the pulse on my business”.

Now this does differ slightly from business to business. For example, if you are a retail shop, then you’re going to automatically have daily figures available to you as part of your normal process. However most businesses should be asking for weekly, monthly and quarterly reports.


Before I go through the reports in detail, I know that a lot of people don’t like looking at the figures in their business. And usually this is because they don’t know what it is that they’re looking for. So usually then their accountant or bookkeeper (or receptionist!) gives them a monthly report, they glance at while holding their breath, and then either breathe a sigh of relief if it shows a profit, or they grimace and swear when it shows a loss. But usually by the time they’ve got this report, it’s already too late. The financial status of your business should be at the forefront of your mind every day- not something that you look at once or twice a year when you run out of cash.


The first thing to decide is how frequently you need to see reports. I suggest a minimum of monthly, if not weekly. This can sometimes depend on whether you have a full time accounts person, or whether they only come in once a month.


To help you know what’s going on in your business, one of the first things to implement into your business is a culture of having a year end every month. By that I mean… you want to ensure that every revenue figure and expense if recorded according to the month that it’s incurred. If you insist on this type of culture, you will start to receive accurate figures. So think end of year each month and close off all financial data for each month. That way you know that your reports fully reflect the state of your business and you get accurate profit and loss reporting and it can help you to identify trends in your cash flow.

With regards to reporting, if you have a full time person looking after your reports, you should be having a weekly meeting with them to review reports. To make this process easy for you, refer to the ‘Essential Financial Management Templates’ workbook which you can purchase from our website. This workbook has a standard financial meeting agenda that will help you to guide your meeting so that it’s both effective and efficient.

When you are meeting with your accounts person, you want to ensure that you have all the reports up front -before your meeting – so that you have time to go through them and highlight any discrepancies that you can then address during the meeting.


So what information do you need to know if your business is doing well or not? Well your weekly report pack should consist of the following five reports (by the way, a sample copy of each of these reports is also included in the workbook that I mentioned before):

1) A Profit and Loss – this should be provided weekly (if you’re meeting weekly) as well as a Month to Date and a Year to Date report. So that’s actually three reports in total!

2) From there, you would request a copy of your Aged Payables. This report shows a list of all the people that you owe money to, and when it’s due – or if its overdue. If there are any amounts that exceed your suppliers trading terms, you want to know why. If it’s because of cash flow, you then look at your cash flow analysis report to see when they will be paid. To maintain a great relationship with your supplier, you then need to communicate this with them.

3) Another essential report is your Aged Receivables. This is where you can clearly see who owes you money and if they have any amounts outstanding to you. This allows you to follow up on collections way before it becomes overdue. As part of your financial management systems, you should have a standard follow up system. For example – if a client has exceeded their trading terms by 7 days, what happens – do you follow up with a quick phone call to check that they’ve received the invoice. If its 14 days – what happens – and so on.

If you refer to the ‘Essential Financial Management Templates’ workbook that I mentioned before, there’s also a list of demand letters designed to help you when you need to be a little more serious about collecting. But once again, Aged Receivables is essential because you need to see when your money is coming in – so that you can pay your suppliers and employees their wages without having to dip into your own personal cash reserves.

4) This brings me to the next report – a Cash flow analysis. This report should be put together by your bookkeeper and outlines when money is coming in and when it is going out. You can then see if there are any shortfalls so that you can make plans in advance to get this covered. It may be that you need to transfer monies from another account – or it may be that you chase outstanding payments. What you don’t want is to find out when you go to transfer the money is that there’s nothing in the account!

Believe it or not, this is often the most under-utilized financial report – and yet it’s the most important. You wouldn’t believe how many bookkeepers or accounts people don’t do them either. It’s not so much that it’s difficult to produce, but it’s a working document which means that it needs to be regularly updated. But persist with this one, even if your accounts people try a mini revolt over it, because it’s a life saver for your business.

5) The other essential report to have is the Bank Reconciliation. If your bookkeeper is full time, then they can do this weekly by using the online reports from your bank. If its monthly, then they will need to wait for the bank statement to arrive from the bank before they can finalise. However, keep on top of them for this – this report shows that the necessary process has been done to ensure that the month end has been closed off and that the cash in bank and any other payments or receipts are accounted for. Basically a bank reconciliation is done so that its guaranteed that your amounts coming into and out of your bank account are accurately reflected in your accounting software package.


I would also recommend requesting that your financial controller automatically sends a copy of your monthly reports to your accountant. This way your accountant can see where you’re headed from month to month. Depending on the size of your business, you could then establish regular meetings with your accountant – whether it’s monthly or quarterly – to discuss those reports and your financial plans for the coming month.

Once you are receiving these reports regularly, you will find that you become much more empowered in your business and your finger is never far from the pulse!

Mental Preparation before the competition

Sometimes, newbie dancers don’t realize the significance of the mental preparation for a dance competition. It is almost as important as the physical preparation or perfecting the routines. Clearing your mind and getting 100% focused on your dance competition may not be as easy as it seems. Clear your mind of all toxins and tap into your motivation before you get out on the dance floor. A couple of yoga classes, an hour of meditation or just a few hours of doing something other than dancing can do wonders for you.


The right motivation before a dance competition is almost as important as your dancing. While dancing, many amateur dancers put too much thought in the technical aspects. They get too focused on their routines, moves, ranking, and forget about having fun while dancing. Oftentimes it may make the dancer look stiff and effects their dancing in a negative way. Judges can usually tell when this is happening since it is so obvious for the trained eye. Try to keep technical thoughts only for training in the preparation phase. When the time of the competition comes, all you need to be focused on is the joy of dancing. The reason why all professional couples always look like they are having fun simply is because they actually do. In many cases that will help you dance your best and make you look better.

Start your preparations well in advance

Try to keep your mind clear of last minute problems before your competition. Finding the best competition dress for yourself can be time consuming and sometimes quite frustrating, especially if you waited until the last minute. Start getting ready for your competition well in advance. You need to free your mind of unnecessary last minute worries that can affect your performance. The only thing your should be focused on is the upcoming competition and your dancing. Before the competition, stress levels go up. That is why you should find yourself everything you need – a dancing dress, dance shoes and accessories, well in advance. Sometimes dancers tend to get so absorbed by perfecting their routines, that they just leave all preparations for the last moment. And then before they realize it, there’s no time left for finding an appropriate ballroom dress. Very often it is very difficult to find an appropriate competition gown and custom dance dresses usually take at least 3-4 weeks to be delivered from the time an order’s been placed. That’s why finding yourself a quality Smooth, Standard or Latin dress should be among your top priorities while getting ready for a dance event. Usually the Standard and Smooth ballroom dresses require more time for production.

The competition hairstyling and makeup shouldn’t be underestimated as well. It’s recommended that you leave your dance makeup and hairstyle to the professionals. Since the professional ballroom hairstylists and make-up artists usually get extremely busy during the days of the competition, you should book your hairstyle and makeup appointment as early as possible, at least a couple of weeks before the event.

Some of the best professional ballroom dancers say that over 50% of dancers’ success on the competition depends on the way they look on the dance floor. That involves the entire look: the dance costumes, followed by the competition hairstyling and make up. Although your body’s definition, strength and energy level are more a result of maintaining a healthy lifestyle in general, yet what you do in the last couple of weeks can significantly affect your dance routine performance.

It is highly recommended that you avoid any heavy foods rich in fats and cholesterol. Switching over just foods high in protein or even starving right before a dance competition is a very common mistake.

Let’s keep in mind that two weeks of eating properly cannot compensate years of eating unhealthy food. Your best bet is instead of trying to get the dream dancer’s body in just a few weeks by pushing yourself to the limits of exhaustion, you should try to get the best out of what you already have. Keeping a positive nitrogen balance is crucial for your stamina, I.e. your overall performance. Maintaining high energy level is more important than having a leaner but fatigued body. Yet, losing maybe a few pounds before a dance competition might help you feel better. It might not affect your performance in a negative way if it is done properly. Remember that if you feel like you need to loose a few pounds before a competition you should do this slowly and gradually. Loosing too much weight in a short period of time doesn’t lead to anything good. It is not recommended to loose more than a couple of pounds, within the last 2-3 weeks right before your event.

Two weeks before the competition

– Keep fat intake to minimum.

– Increase carbohydrates intake in the mornings. Good sources of carbs are: brown rice, whole grains, vegetables and pasta.

– Increase protein intake in the afternoons. Good natural sources of protein are: fish, white chicken meat, egg whites.

– Drink tons of water. Water helps body sells dissolve fat quicker than anything else. Along with that, water keeps you hydrated and energized.

– Avoid salt. Salt contains sodium and sodium keeps the water inside the body. Which makes you feel heavy and makes your face look puffy.

– Take a lot of vitamins. Preferably through natural sources – organic fruits and vegetables.

Right before the competition

– Make sure you eat something small. Dancing on a full stomach is almost as bad as dancing on an empty stomach. If you don’t eat at all, then you risk to have no energy on the dance floor when you need it most. An energy bar or cereal bar will do.

– Drink a glass of water. You don’t want to get your stomach too full or get dehydrated on the dance floor. Dehydration can be very dangerous and may lead to muscle cramps or even black outs.

– Light dinner before 8.00 p.m on the night before, go to bed for 7 hours, more sleep will make you feel drowsy in the morning. A high energy breakfast, protein bar, a glass of water + a little coffee can boost your energy before the competition. Avoid eating too much in the morning right before a competition.

Stretching and Warming up

Nice warm up and stretching is very important before you get on the dance floor. Try to not overload your body and keep your energy for the dance floor. It is not recommended to practice intensively the night before your competition. Y ou may injure yourself or get burned out. It is recommended you should try to relax and get emotionally ready for the important day.

Learn how to move on

Every ballroom professional knows how important it is to always move through a dance routine. Even if you made a mistake, lose timing, miss steps, get in another couple’s way or fall down, move on and keep dancing as if nothing happened. It may even help you conceal some small errors and make them unnoticeable to both judges and audience.

Don’t allow one error to affect the remainder of your dance performance. Learning how to keep your focus on your next dance steps and routine can put you one step ahead of your competitors.

Many amateur dancers tend to believe that a mistake they made would put a negative mark on the remainder of their performance which is not necessary the case.
